Adding an Individual User
Managers can add a single provider or staff member using the Create User form.
To begin:
- Go to My Practice
- Select the Users tab
- Click Add Users
- Choose Individual
You will then complete the Create User form.
User Level
The User Level determines the user’s level of access.
Available options include:
Group Manager
Manages multiple practices within an organization.
Practice Manager
Manages users and activity within a specific practice.
Practice Member
A provider or staff member who participates in surveys and learning activities.
Most users will be added as Practice Members.
User Role
Next, select the user’s role.
Provider
Choose Provider for:
- Medical Doctors
- Doctors of Osteopathy
- Nurse Practitioners
- Physician Assistants
Selecting Provider will display additional fields related to provider information.
Staff Member
Choose Staff Member for non-provider team members such as nurses, medical assistants, and administrative staff.
Staff members do not require provider-specific information.
Provider Details
If the user is a provider, additional information may be required.
These fields help Protoqual properly connect the provider to surveys and reporting.
Provider Type
The provider’s credential (such as MD, DO, NP, or PA).
Provider Title
An optional professional title.
Specialty
The provider’s medical specialty (for example Primary Care or Specialist).
Specialty information can be used when sending surveys based on provider type.
ORM Link (optional)
A link to the provider’s public review page, such as Healthgrades.
Personal Information
Each user requires basic information.
Required fields include:
- First name
- Last name
If the user does not have an email address, you can enable:
“This user does not have an email address.”
When this option is selected, the user will log in using a username and password instead of email.
Practice and Location
Users must be assigned to a practice and location.
Practice
Select the practice the user belongs to.
Location
Choose the location if the practice has multiple sites.
Learning Settings
New users may automatically be enrolled in the practice’s learning program.
If Protoqual Mode is active, learners receive:
- A curated curriculum
- One learning activity each week
- Automatic assignment scheduling
Assignments begin once the user account is active.
