Adding Multiple Users
Managers can add multiple users at once using the Multiple option.
To begin:
- Go to My Practice
- Select Users
- Click Add Users
- Choose Multiple
You will first choose whether you are adding Providers or Staff Members.
Adding Multiple Staff Members
Staff members can be added quickly using either:
- Email invitations
- A CSV file import
Because staff members do not require provider-specific information, they can be added with minimal setup.
Inviting Staff by Email
To invite staff members by email:
- Enter each email address in the Emails field
- Click Add Another Email to add additional users
- Click Send Invites
Each staff member will receive an email invitation to create their account.
Once they activate their account, they will complete their remaining profile details.
Importing Staff Members from a CSV File
If you already have a list of staff members, you can upload them using a spreadsheet.
To import staff members:
- Click Import from CSV file
- Upload your spreadsheet
- Review the users before confirming the import
This method allows you to quickly add many users at once.
Adding Multiple Providers
Providers require more information than staff members because they are connected to patient surveys.
To ensure surveys work correctly, provider details must be configured during import.
To import providers:
- Select Providers
- Download the Sample File
- Fill in the required fields in the spreadsheet
- Upload the completed file
- Review the users before completing the import
This process ensures that providers are automatically connected to the survey system.
Why Provider Details Are Required
Providers are connected to patient surveys and reporting. Collecting provider details during import ensures:
- Providers appear correctly on surveys
- Patient feedback is attributed to the correct provider
- Survey reporting remains accurate
By configuring this information during import, Protoqual prevents setup issues later and keeps survey data organized.
After Users Are Added
Once users are added:
- They will appear in the Users list
- Invitations will be sent automatically (if email is provided)
- Learning activities will begin based on the practice’s settings
Managers can return to the Users tab at any time to monitor activity, resend invitations, or manage accounts.
